How to Update or Schedule a Salary Update for a US Employee

This guide walks you through updating an employee's pay immediately or scheduling a future pay change on Thera. Both salaried and hourly employees are supported.

Before you start

  • You need admin access to your Thera workspace.

  • Have the employee's new pay amount and effective date ready.

  • Scheduled updates can be canceled at any time before the effective date.

Step 1: Go to the employee profile

  1. From the top navigation, click Payroll.

  2. In the left sidebar, select US Payroll,

  3. Scroll through the employee list and click on the employee whose pay you want to update.

This takes you to the employee's profile, where you'll see their overview, compensation, pay cycle, and paystub history.


Step 2: Edit pay and enter new details

From the employee's profile

  1. Go to the Pay section

  2. Click More, then select Edit Pay from the dropdown. This opens the Edit Pay panel.

In the panel:

  1. Choose Update Now to apply the change immediately, or Schedule Update to apply it on a future date.

  2. Select Salaried or Hourly depending on the employee's pay type.

  3. Enter the New Amount (USD) β€” annual salary for salaried employees, hourly rate for hourly employees.

  4. Set the Effective Date in MM/DD/YYYY format. For scheduled updates, this must be a future date.

  5. Optionally add a Note to record the reason for the change (e.g. 3% increase, annual review, promotion).

  6. Click Schedule Upgrade in the top right to save.


Step 3: Review and manage the scheduled change

Once saved, a confirmation banner appears at the top of the employee's profile summarizing the change. It shows:

The employee's current pay stays in effect until the scheduled date, and payroll runs before that date will use the old amount. On the effective date, the new amount automatically takes over for all future payroll runs.

To cancel a scheduled change, click Cancel Upgrade on the banner before the effective date. The scheduled update will be removed and the employee's pay will remain at its current amount.

To make further changes, you can schedule another update at any time by repeating Step 2. Note that only one scheduled update can be active at a time, if you need to replace a scheduled change, cancel the existing one first.
