How to Add Backdated Time Entries for Your Employees

If your employees worked hours that weren't logged at the time - for example, during their first few days before Time Tracking was turned enabled - you can add those entries yourself as a backdated time block.

For company admins using Time Tracking on Thera


Step 1: Enable Time Tracking

Go to Settings → Time Tracking and turn on the Time tracking enabled toggle. Once it's on, every hourly W-2 employee is tracked by default.

If you need to exclude specific employees from tracking, click Manage Employees on the same page.

Step 2: Open the timesheet you need to update

Head to Payroll → Time Tracking in the left sidebar.

Here you'll see a list of pay periods. Click Review on the period you want to add hours to.

This opens the Timesheet approvals page.

Click on the employee whose hours you want to enter.

This will take you to the employee's timesheet, a day-by-day calendar view of the pay period.


Step 3: Add a time block for each day worked

Click + Add block on the day you want to log hours for. A form will appear where you can enter the Clock In and Clock Out times, an optional description, and any breaks. Click Add Block to save.

Repeat this for each day the employee worked. The timesheet updates as you go, you'll see the hours reflected immediately.


Step 4: Approve the timesheet

Once all entries look correct, click Approve Timesheet at the top of the page. The approved hours - including any overtime - will sync to payroll automatically.

Good to know: Approving locks the timesheet for that pay period, so the employee can no longer edit it. If you need to correct entries after approval, you can reopen the timesheet any time before payroll runs.
