1. Getting Started with Time Tracking
By default, turning on Time Tracking enables automatic time logging for every hourly US employee in your company.
To enable or disable Time Tracking: Go to Settings > Time Tracking Settings and toggle the main Time Tracking switch.
Excluding specific employees: If you have certain hourly team members who should not use the automated system, click Manage Employees under the Time Tracking card to customize individual tracking preferences.
2. Managing Deadlines & Backtrack Windows
Configuring clear deadlines ensures your team logs their time before payroll processing begins.
Company Timezone: All entry times, submission deadlines, and overtime boundaries are calculated according to your selected company timezone (e.g., Eastern, Pacific, UTC).
Timesheet Lock Time: Timesheet entries automatically lock at 2:00 PM EDT after a pay period ends.
Backtrack Window: Controls how many days in the past employees can log or adjust missing hours. For example, setting a 2-day backtrack window allows employees to log time up to 2 days prior to today.
3. Setting Employee Editing Rules
You can control the level of flexibility employees have when managing their own timesheets:
Allow Employee Edits: When toggled on, employees can edit or adjust their logged entries while the timesheet for the current pay period remains open.
Allow Historical Entries: When enabled, employees can create entries for past dates, provided those dates fall within your defined Backtrack Window.
4. Configuring Overtime & Special Rules
Thera automatically calculates overtime pay based on your company-wide default thresholds or per-employee custom overrides.
Default Overtime Settings
Weekly Overtime Threshold: Specify the number of hours worked in a week (e.g., 40 hours) before the standard overtime rate applies.
Overtime Multiplier: The rate multiplier applied to overtime hours (e.g., 1.5x regular pay).
Double Overtime: Define a weekly threshold and multiplier (e.g., 2.0x regular pay) for higher hourly limits if applicable.
California 7th Consecutive Day Rule: If you employ team members in California, enable the Seventh consecutive day overtime toggle. When active, Thera automatically applies overtime pay rules to employees who work seven consecutive days within a single workweek.
