Where this applies: This setting controls how many hours get logged for hourly employees on a given pay run in US Payroll. Instead of relying on actual clocked/tracked hours, you can pre-fill a fixed number that gets used automatically when payroll is calculated. It's useful when hours don't vary week to week, and you don't want to track time manually. It only affects hourly employees. Salaried employees are paid their salary regardless, prorated to the cycle.
1. Set the default at the pay cycle level
This sets the hours that get pre-filled for every hourly employee on that cycle.
Go to US Payroll → Pay Cycles
Click Edit on the pay cycle you want to change
Update
Set custom hours for this pay cycle?to YesEnter the fixed/default number of hours
🛈 This applies to every employee in this pay cycle. Employees with hours already saved on their individual profiles override this
2. Override for a specific employee
If one employee needs a different fixed number of hours than the rest of the cycle, you can now set that directly on their pay:
Go to the employee's Edit Pay page (Employee > Pay > (⋮) Edit Pay)
Enter their specific hours. This overrides the pay-cycle default and sticks for that employee going forward
3. For a one-off change on a single payroll run
Use this when you only need to adjust hours for one pay period, without changing anything going forward.
Go to the US Payroll page
Click Run on the current cycle
On the next page, click on the Regular Hours to edit it for that employee
